GSF Car Parts is one of the UK’s leading automotive parts distributors, supplying thousands of independent garages throughout the UK and Ireland with parts, tools, garage equipment and specialist training. The group has over 180 branches nationwide.

Ashley Marsh, Talent Manager at GSF Car Parts led the project to revamp recruitment operations and replace an outdated Applicant Tracking System that caused issues and created bottlenecks. The requirement was to implement a fit for purpose recruitment platform to improve efficiency by reducing administrative tasks. Part of the scope was to automate manual interventions and replace a clunky onboarding module that presented problems when creating and editing contract documents.

GSF selected Eploy’s cloud-based talent acquisition software to support the attraction, engagement, recruitment and onboarding of the perfect talent to the GSF team.

The quick launch project with Eploy involved the implementation and set-up of the core system, Hiring Manager Portal, Candidate Portal, Onboarding module and Vendor Portal, delivered over a rapid 4-week cycle.

Before implementing Eploy, hiring managers would manually raise a job requisition for a vacancy. Using the Eploy Hiring Manager Portal, managers across the branch network can raise a vacancy request from a template or blank job template, and submit roles for approval. Hiring managers can provide interview availability by creating ‘slots’ and also provide feedback following interviews. They can review candidates and proceed/reject accordingly and also raise an initial offer for the Core Talent team at GSF to process.

The flexibility of Eploy has enabled automated vacancy authorisation, job posting to social media, Indeed and Google for Jobs from the core Eploy system, and searching the talent pool to source candidates directly.

The Candidate Portal delivers an improved candidate experience to engage and attract more candidates through a streamlined recruitment process. Candidates can manage their preferences and keep up to date on the progress of their applications.

Eploy’s Onboarding Module improves engagement with new hires and has transformed the previous manual process, solving issues when creating and issuing contracts.

In the next phase, Eploy's integration with iTRENT, the HRIS in place, will use Eploy’s RESTful API to move new starters into iTRENT and update Company Structure in Eploy, removing the need for manual data entry.
